2026 Employer Delegate Pass Terms and Conditions

Scope of these Terms: These Terms and Conditions apply exclusively to individual Employer Delegate Pass registrations.
They do not apply to Sponsor, Exhibitor, or Supplier contracts, which are governed by separate commercial agreements.

  1. Event Programme, Timings, and Changes

The Organiser makes every effort to deliver the event as publicised. However, due to the nature of live events, certain components are subject to change.

  • Content and Speakers: The Organiser reserves the right to alter the programme layout, session topics, and publicised speakers at any time without prior notice. The substitution of a speaker or a change to a session format does not entitle the Delegate to a refund, discount, or booking cancellation.
  • Timings and Schedule: Final session timings, track placements, and workshop blocks may vary slightly from the preview agenda. The Organiser is not liable for minor schedule adjustments on the day of the event.
  1. Postponement, Venue Change, or Date Alteration
  • Relocation and Rescheduling: If the Organiser deems it necessary to change the event venue, alter the event date, or change the daily operational timings, the booking remains valid for the revised details.
  • Notification: The Organiser will notify the Delegate of any significant date or venue changes in writing via the email address provided at registration.
  • Liability: In the event of rescheduling or relocation, the Organiser’s liability is strictly limited to the value of the delegate pass fee. The Organiser is not responsible for any secondary costs incurred by the Delegate, including but not limited to flights, hotels, transport, or loss of earnings.
  1. Organiser Cancellation, Postponement & Force Majeure

If the event must be postponed, rescheduled, or cancelled entirely by the Organiser due to a Force Majeure event or circumstances beyond their reasonable control (including but not limited to acts of God, industrial action, venue failure, severe weather, transport strikes, or government restrictions):

  • No Cash Refunds: Under no circumstances will the Organiser be liable to issue cash refunds.
  • Automatic Credit/Transfer: The Organiser will automatically issue a 100% credit voucher equal to the value of the fee paid. This credit voucher is strictly non-refundable and will be valid for use against the next consecutive annual MAD World Leaders Summit event.
  • Limitation of Liability: The Organiser’s liability is strictly limited to the value of this credit voucher. The Organiser accepts no liability for any indirect or consequential losses incurred by the Delegate or their organisation, including non-refundable travel, accommodation, or subsistence costs.
  1. Payment Terms (No Pay, No Entry)
  • Full Payment Required: All delegate fees must be paid in full prior to the event date.
  • Admission Restrictions: The Organiser reserves the right to refuse entry to any Delegate whose invoice remains unpaid at the time of onsite registration on Thursday 26th November 2026.
  • Accounts Enquiries: For all VAT invoices and billing queries, delegates must contact accounts@pmlive.com .
  1. Delegate Cancellation and Withdrawal Policy

Without prejudice to the rights and remedies of the Organiser in respect of any breach of the Contract on the part of the Delegate, the Organiser may at its sole discretion allow the Delegate to withdraw from the Event subject to the following conditions:

    1. Written Notice: The Delegate must give formal written notice of their desire to withdraw by emailing info@madworldsummit.com . If the Organiser allows the withdrawal, it will notify the Delegate of its decision in writing.
    2. Cancellation Fees: Notification of allowed withdrawal by the Organiser constitutes a cancellation of the contract, subject to the retention or payment of the following amounts:
      Cancellations made three months or more prior to the event date will incur a cancellation fee equal to 75% of the total contract/booking fee.
      Cancellations made less than three months prior to the event date will incur a cancellation fee equal to 100% of the total contract/booking fee.
    3. Pass Rollover Credit: In both of the above cancellation instances, the Organiser permits the full amount paid to be used as a credit balance against the cost of another MAD World Leaders Summit pass. This credit balance must be redeemed within 12 months of the original event date.
  1. Delegate Substitutions and Ticket Transfers

If you are no longer able to attend the event in person and wish to send a colleague in your place:

  • You must contact the Organiser immediately at info@madworldsummit.com  with your booking reference and the replacement colleague's full professional details.
  • The transferring of delegate passes is permitted entirely at the Organiser’s discretion.
  • To ensure smooth operational processing and badge printing, substitution requests will not be accepted less than one week (7 days) before the event date.
  1. Event App, Whova, and Data Sharing
  • Platform Operations: The summit utilizes an official event app (including Whova frameworks) to manage session pre-assignments, workshop rotations, digital badge scanning, and delegate communication.
  • Data Consent: By purchasing a ticket, the Delegate consents to their name, job title, and organisation being uploaded to the event app platform to facilitate these essential networking and scheduling functionalities.
  1. Photography, Filming & Media Consent
  • Media Capture: The Organiser will be filming, recording, and taking photographs throughout the event at Convene, 155 Bishopsgate for archival, promotional, and marketing purposes.
  • Usage Rights: By attending the event, the Delegate consents to their image, likeness, and voice being captured and used in future MAD World digital or print promotional materials without financial compensation, approval rights, or prior notice.
  1. Code of Conduct and Ejection Rights
  • Professional Environment: The MAD World Leaders Summit is dedicated to fostering a supportive, safe, and professional environment focused on workplace culture, health, and wellbeing.
  • Enforcement: The Organiser reserves the right to refuse admission to, or eject from the venue without a refund, any Delegate who fails to comply with venue regulations, acts disruptively, or displays behavior that compromises the safety, inclusion, or professional integrity of the summit or its attendees.
